How cancellations and refunds work across every WRKTOP platform — PharmaWRK, ServiceWRK, HelloWRK and SalesWRK.
Effective from 22 October 2026 · Last updated 22 October 2026
In short: Every platform has a free trial, so you can judge it before you pay anything. Once a subscription is paid it runs for the term you bought, and we do not refund part-used terms or unused seats. We do refund you promptly when the fault is ours — a duplicate charge, a billing mistake, a subscription we never provisioned, or a renewal you did not intend and tell us about quickly. Cancel whenever you like; you keep access until the term you have paid for ends.
This Refund & Cancellation Policy is issued by WRKTOP Technologies Private Limited (CIN U72900KA2021PTC144936, registered office 588, Vidyaranyapura Main Road, Block No. 3, HMT Layout, Vidyaranyapura, Bengaluru 560097, Karnataka, India).
It applies at the company level, to subscriptions to every platform in our portfolio — currently PharmaWRK, ServiceWRK, HelloWRK and SalesWRK — and to any platform we add later. It forms part of, and should be read with, our Terms of Use. Capitalised terms have the meanings given in clause 3 of those Terms.
Where you have signed a separate written agreement or order form with us, that document prevails over this policy to the extent of any conflict.
| Situation | What happens |
|---|---|
| Free trial ends, you do not subscribe | Nothing was charged. Nothing to refund. |
| You cancel mid-term | Access continues to the end of the paid term. No refund for the remainder. |
| You were charged twice for the same thing | Full refund of the duplicate. |
| We billed you the wrong amount | We refund the difference. |
| You paid but the subscription was never provisioned | Full refund. |
| A renewal you did not intend, reported within 14 days | Full refund of that renewal, subject to clause 5.5. |
| We materially cut core functionality during your paid term | You may terminate and receive a pro-rata refund. |
| You reduce user count mid-term | No refund. Takes effect at renewal. |
| We terminate you for breach | No refund. |
Every platform is offered with a free trial, and no card details are required to start one. The trial exists precisely so that you can test the platform against your own work before committing money.
Because no payment is taken during a trial, there is nothing to refund. If a trial ends and you choose not to subscribe, your access simply stops. We will tell you before a trial ends.
We encourage you to use the trial fully. A request for a refund on the basis that a platform did not suit your business, when a trial was available and offered, will normally be declined — see clause 6.
Paid subscriptions are billed in advance for the term you select, and that term is a commitment on both sides: we reserve the capacity and you reserve the right to use it.
Accordingly, and except as set out in clause 5 or as required by law, subscription fees are non-refundable. In particular, we do not give refunds or credits for:
This mirrors clause 6.4 of our Terms of Use.
We refund without argument where the problem is ours, and in the specific cases below.
If you are charged more than once for the same subscription and period, we refund the duplicate in full. You do not need to justify the request — tell us and we will verify it against our records.
If we charge the wrong amount — the wrong plan, the wrong number of users, a price change applied early, tax calculated incorrectly — we refund the difference in full.
If you pay for a subscription and we fail to provision it, and we cannot put that right within 5 business days of you telling us, you are entitled to a full refund of the amount paid.
If, during a term you have already paid for, we remove or materially reduce core functionality of a platform in a way that materially disadvantages you, you may terminate that subscription and receive a pro-rata refund of prepaid fees for the unused part of the term. This is the right described in clause 13 of our Terms of Use.
Subscriptions renew automatically (clause 6.3 of the Terms). We send a renewal reminder to account administrators before each renewal date.
If a renewal is charged and you did not intend it, tell us within 14 days of the charge and we will cancel the renewed term and refund it in full — provided that, in that period, the platform has not been used beyond incidental sign-in. Beyond that window, the renewed term is treated as any other paid term under clause 4.
Nothing in this policy limits any refund right you have under applicable Indian law that cannot be excluded by agreement. Where a statutory right conflicts with this policy, the statutory right prevails.
The following are not refundable in any circumstances other than clause 5.1, 5.2 or a statutory right:
You can cancel at any time, with no cancellation fee and no notice period. Either:
Cancellation takes effect at the end of your current paid term. Until then your account stays fully active — cancelling does not cut your access short, and it does not trigger a refund of the remaining period. After that date the subscription will not renew and no further charges will be made.
Your data remains available for export for 30 days after the subscription ends, as described in clause 14 of our Terms of Use. Please export anything you need within that window.
You can remove users from your organisation at any time, and we encourage you to keep your user list tidy. However, because seats are paid for in advance for the whole term, removing a user mid-term does not produce a refund or credit. Your billable user count is recalculated at the next renewal.
Adding users mid-term is charged pro-rata from the date they are added to the end of the current term.

We acknowledge refund requests within 2 business days and give you a decision within 7 business days of receiving everything we need. If we decline, we will tell you why, in writing. You can escalate a declined request to our Grievance Officer — see clause 15.
Approved refunds are made to the original payment method. We cannot redirect a refund to a different card, account or person, because doing so defeats the fraud controls our payment partners rely on.
We initiate approved refunds within 3 business days of approval. After that, the time for the money to reach you is determined by your bank, card issuer or payment provider — typically a further 5–10 business days for cards and 3–5 business days for UPI, net banking and NEFT. We will give you the refund reference so you can trace it with your bank.
Refunds are made in the currency of the original payment. We are not responsible for exchange-rate movement between the date of payment and the date of refund, or for fees your own bank charges on the transaction.
Where GST was charged on the original invoice and a refund is approved, we issue a GST credit note for the refunded amount in accordance with the Central Goods and Services Tax Act, 2017, and reflect it in the relevant GST return.
If you have already claimed input tax credit on the original invoice, you must reverse that credit to the extent of the credit note. We may be unable to refund the tax component where the statutory period for issuing a credit note has passed; in that case we will tell you, and refund the fee component only.
If you believe a charge is wrong, please contact us before raising a chargeback with your bank or card issuer. Almost every billing dispute is a misunderstanding we can resolve in a day, and a chargeback is slower for you than a refund from us.
Where a chargeback is raised against a charge we consider valid, we may suspend the affected account until the matter is resolved, and we will provide our records to the card issuer. If a chargeback is decided in our favour, any fee charged to us by the payment provider may be added to your account.
If we terminate or suspend your subscription because you materially breached our Terms of Use, or for non-payment, no refund is due for the remainder of the term.
If we terminate for our own convenience, or if we discontinue a platform entirely, you will receive a pro-rata refund of prepaid fees for the unused part of the term, and we will give you reasonable notice and an export window for your data.
We may update this policy. We will change the "Last updated" date above and, where the change is material, notify account administrators by email or in-product at least 15 days before it takes effect. The version of this policy in force on the date of your payment governs that payment.
